Your Email Subject Line Should Fit the Message

Another Email Etiquette Tip: Make your email subject line fit your message. 

It is convenient to select “reply” to an email from someone, as a way to save the time of entering an address–and sometimes that is appropriate for a quick turn-around email. However, it is frustrating to be searching for a phone number, schedule or some other specific thing and find only twenty subject lines that say, “Re: Project Plans.” It is also disconcerting to get a message about setting up a meeting, but the subject line pertains to a message you sent two years ago, and says, “Re: Sad news about Fred Benson”.

A chain of email messages on about the same topic:  If each email is part of a chain of messages on one topic, customize each of them in some way, so the sender and you can find it later.

First message subject line: SLR Project Plans

The idea is to give recipients a way to save and recover all of the email messages related to the SLR Project, but also to find specific information within that group. Think of how many emails you would have to open if those messages all just said, “Re: SLR Project Plans” and you only wanted to know the timeline for the project.

A message about a completely different subject: If you look up a message from John and hit reply to send him an unrelated message, change the subject line. It not only is confusing to see a subject line about a topic you do not recall or that you are not aware of as a current issue, it looks as though you don’t care enough about the message or the recipient to personalize it.

First message: Sad news about Fred Benson

Second message, originally “Re: Sad news about Fred Benson”: Let’s get together for lunch

Forwarded messages: Many people hit delete when they see “FW:” in personal mail. In business settings they may not open it, thinking it is just FYI. Rather than using only the forwarded subject line, personalize it a bit as well, unless the person receiving it is expecting it and knows why they are getting it.

First message: Want your input–FW: SLR Project Plans

Second message: Your ideas? (Fwd msg. from CM to me about SLR Project Plans)

Yes, you do have enough time to make the email subject line fit the message. The email subject line is the first thing people look for, after seeing your name in their In-Box. Make it something that not only lets your recipient know what the email is about, but that also allows them to find it later.  Do not give people a negative feeling about your message before they have even read it.

One More Time: Avoid Embarrassing People In CCed Emails

This may seem to be my One Tune Topic for the last few months, but it seems that it cannot be emphasized enough. Consider these snippets from emails, all which were copied to several people (some not even part of the organizations involved.)

• “If you don’t have the skill to do it, at least send it to someone who knows how to do their job and stop wasting my time.”

• “Your email makes no sense at all. Rewrite please.”

• “I have tried to resolve this situation amicably only to face your nastiness time after time.”

• “I reviewed the work of you and your committee and frankly am amazed that you would consider this to be the quality I expected, especially from someone who is supposedly trained to do this kind of thing. If this is an example of your work, we need to be talking about getting you some additional training. There is no way I could list the problems in one email, so apparently I will have to take the time to meet and work on this with you. I’m available Friday afternoon but after that will be gone for two weeks, so let me know if you can meet then.”

• “Re: Your request to attend the conference. No.”

I’ve changed some details in those emails to protect the organization and those who sent the examples to me, but they are all essentially real. How would you like to be CCed on those? How would you like to be the recipients? How does it present the sender? Will any of them improve things?

What If Nothing Else Is Working?

In one of the examples above I was blind copied but several others were obviously copied. I immediately called the sender to register my dismay. She said, “Well, nothing else has worked and I figured if I embarrassed her maybe she would finally do something.”

Do you think that will happen? Even if it does, will the damage ever go away completely?

If the performance or behavior of an employee you supervise concerns you, talk to the employee directly by phone or in a personal email. No employee I’ve ever met develops a more positive approach to work as the result of being chided in a message that is copied to others. If the thing that concerns you is something that others need to be reminded of as well, handle it with a training approach for all, after you have dealt with the other employee personally.

If a coworker is the source of frustration or anger, talk to your manager or supervisor and be factual about what is concerning you. If you CC your manager in an unpleasant email you may find that both the employee and the manager resent your method of informing. That doesn’t mean you should ignore problems, it just means you should be direct not sneaky.

If you have something unpleasant or discomfiting to say to anyone, say it to them alone. Don’t wait until you are in an email “room” and bring it up. Have you noticed how brave or tough people can be when they are showing off for others!

“Look what a tough leader I am?” “Look how direct I am.” “See how I tell people where I stand?” “Notice that I don’t take anything from anyone?” “See how saintly I am compared to that other person?”  Those are the underlying messages conveyed by unneeded CCs. 

If you receive an awkward, embarrassing or inappropriate copied email, let the recipient know you would prefer to not be included on such things. If those who CC were told it was unnecessary or uncomfortable they would be far less likely to preen over their rough and ready approach. If you are a manager, stop such copying when you see it happening. If you are a subordinate, consider doing what one employee told me about: He wrote back directly to the manager and said, “I don’t think I was supposed to be included in that correspondence, but I want you to know that I have deleted it and won’t say anything about it.”

Whatever you do, don’t even inadvertently encourage the kind of rudeness that is the hallmark of unnecessary CCs or BCs.

The bottom line: There is a time for putting your concerns or frustrations in writing. Not all unpleasant mail is inappropriate. However, when you intend to correct someone or negatively critique their performance or behavior, think, think and think again before copying others. There may be rare times when it is needed, but most often, it is not. You and your reputation and effectiveness will be diminished in proportion to how many people you CC unnecessarily.

Email, Phone Or In-Person Communication?

 

 

 

There are plenty of reasons to communicate about inter-office business in person, rather than sending an email or calling on the phone–especially if the recipient is down the hall or only a floor away. There are also plenty of reasons to stay at your own desk and send a message or make a phone call. Rather than being dogmatic about it, be situational–just as you probably are with many work issues.

  • If you are communicating upwardly, find out if your manager or others at that level have a preference for communicating about matters that don’t require in-person conversation. Or, call or send an email and ask if he or she would prefer that kind of contact or should you come by to see them in person.
  • Let others know your preference about communication. In your email about a situation say, “Just email me the results, that way I’ll have a copy.”  Or, “Email me the results but call me ahead of time so I’ll be looking for it.”  Or, don’t worry about emailing me the results. Let’s get together and talk about it. What time?”
  • If you communicate in person, be respectful of the time of others. Don’t use every visit to someones office, cubicle or workplace as an opportunity to take a break and take them with you mentally!
  • If you communicate by email or phone, be aware of the frustrations of unnecessary messages or ringing phones. Don’t cc people unnecessarily, just as you would not pull all of those people into a room to talk about it. Also save up messages if you think you will need to get advice or input several times.
  • Even if you talk to someone in person or on the phone, email crucial information as a way to document what you have done.
  • If what you are talking about is not something you would ever want disclosed or reviewed in hard copy, talk instead of emailing.

The bottom line is to have a reason for your choices about communicating. There are times when communicating by email is by far the best choice.  Other times, a phone call is the right call to make. And, sometimes it’s better to walk or drive to the location and be able to talk to someone face to face.  The choice depends upon you, the other person, the setting, the topic and the time required.

Think Before You CC

Being able to send a typed message to several people at once is one of the great benefits of email.  However, many people misuse the benefit and make it one of the worst aspects of a great concept. 

Remember: Email doesn’t waste time. People misusing email waste time.

 Unless you have been directed, requested or begged to CC or BC a message, think before you do it.  Then, think again. There are certainly times when it is appropriate and effective. For example, when you are commending someone, want others to know about it, and want the person you are commending to see who you have copied. Or, when several people are working together and all must get exactly the same information.  However, often it is not appropriate or effective and makes you look badly.

You may add to email clutter.

Does the person you are copying really need to read the entire message? Will it help them do their work more effectively? When they said to keep them informed, did they mean they wanted to see all the emails about a subject as an “FYI”?  Instead of copying on every item, consider sending them a direct email with an overview of what is happening. If it’s not important enough to take the time to do that, maybe copying isn’t needed. 

You may seem to be trying to look impressive.

Are you mostly trying to show how effective you are? (Most of us have done that sometime.) Rather than making you appear saintly or impressive, the message may irritate or amuse those who are CC’d on it. They may not tell you, but mentally they may be sighing or rolling their eyes–or just hitting delete.

Instead of copying what you send to others, send a direct email to the person you want to inform about your work.  If you don’t think that would be effective or well-received, don’t CC on the messages either.

You may create or add to hostility

Will the original recipient view the CC as a way of tattling on them or emphasizing your status?  Your message can go from merely irritating to infuriating if the recipient thinks you are trying to get him or her in trouble or implying that you and the boss are in close contact.  Unnecessarily CC’ing a person higher up on a message can be like waving a red flag in front of the direct recipient.

You may stir up trouble

Is the message likely to create conflict? If you know or are reasonably sure that what you are sending will create negative feelings for those being copied or for direct recipients, don’t do it.  If you are venting and you only want the maximum audience, don’t do it. If you don’t have the courage to say something face to face, but you figure you can get by with it and sound tough by email, don’t do it.

If there is something going on that needs to be confronted, do it in person or by phone. If documentation is needed, follow-up with an email or an email with a document attached.

Some alternatives to CC

Instead of CC’ing someone, forward the original. Forwarding  allows you to add a message specifically for the recipient. It also prevents the recipient of the forwarded email from an awkward “Reply All” , which sometimes happens on copied mail. 

If you CC, consider saying in the message why you are doing it.  “I’m copying Bill on this, since he has to give approval next.” If you can’t think of a succinct reason for copying someone, don’t copy them. (How does this sound? “I’m copying Kristie, so she will see what I’m having to put up with.” Or, “I’m copying Chuck, so he’ll know I’m working hard on this project.” Or, “Kyle, I’m copying Vernon so you know I have his support. Nyah, nyah, nyah!”

Blind Copy, to avoid having all the recipients known.  When someone is blind copied their email address is not seen by direct recipients. This can be useful in many circumstances and is a valid action in some cases. However, it can have drawbacks as well. For example, it can seem sneaky, if the person you blind copied then writes directly to the person you were emailing or accidentally sends a “Reply All” message.  It is wise to send a direct message to the Blind Copied person telling them why you have done it that way.  (Forwarding the original can achieve the same purpose, without taking much more time.)

Make CC’ing a useful tool

Being able to send several people the same message at the same time is one of the great benefits of email. Use it unnecessarily or as a weapon and not only will your emails be dreaded by many people, you will lose credibility. Use it wisely and you will be considered efficient and effective by several people at once!

Do You Need New Ways To Be Annoying?

If you're annoying don't complain if you get swatted.

I’ve sometimes wondered if the person who is driving me crazy is only that way in a specific setting (the one I’m in at the time) or if he or she is always that way. Fortunately for my peace of mind, I don’t consider the idea that I might be annoying as well. Highly improbable!

My friend Jeff Adams wrote a post last month about annoying airplane travelers.  I could relate to all of his descriptions–especially the passengers who hold up everyone else while stuffing their over-sized bags into the overhead  bins. Then it’s slam, slam, SLAM, while they try to close the door.

My neighbor, Larry Homenick, has a list of annoyances he encounters at casinos. (I don’t go to those places, so I’m taking his word on these). They include the Button Pounder, the Slot Machine Expert, the Slot Machine Hog, the Over-Your-Shoulder Starer, and the Childishly Excited. (Oh my gosh. Oh my GOSH! OH MY GOSH!!!!!!! I won two dollars!!!!!!!!!!!!!!)

Last week I was checking out at an Office Max and the guy in front of me was so preoccupied talking on his cell phone, he couldn’t respond to anything the sales clerk was asking–the sales clerk was visibly annoyed and so were those of us standing and waiting. We all have stories like that nowadays. They are as common as the annoyances of having someone scrolling through email while you’re teaching or conversing; talking on the phone loudly, as though others want to hear or won’t notice, or forwarding silly emails or urban legends to you and fifty others.

There are traffic annoyances; personal habits that are annoying; repetitious words and phrases that were charming, witty or interesting the first thousand times the person said them, but aren’t anymore; inside jargon; annoying children, annoying sounds (whistling, humming, snorting, etc.) and a myriad of other things. (And saying we should overlook those things is annoying too. It’s always easier to tell someone to ignore an annoyance than it is to ignore the thing that annoys you.)

More ways to be annoying: In case you don’t have enough ways to be annoying, I’ll give you an excerpt from the list you may have already seen. I haven’t found out the correct attribution–the source listed by some sites hasn’t proven to be correct. Very annoying!

  1. Learn Morse Code and have conversations with friends in public consisting entirely of “Beeeeep, Bip, Bip, Beep, Bip, Beeeep…”
  2. Specify that your drive-through order is “to go.”
  3. Sniffle incessantly. (Note: Or cough, pick your noise, scratch your arm, neck or face, etc.)
  4. Insist on keeping your windshield wipers running in all weather conditions to keep them “tuned up.”
  5. Reply to everything someone says with, “That’s what YOU think.”
  6. Follow a few paces behind someone spraying everything they touch with Lysol.
  7. Finish all your sentences with the words, “in accordance with prophecy.”
  8. ONLY TYPE IN UPPERCASE.
  9. Repeat everything someone says, in the form of a question. (Note: That’s why “active listening” techniques can be annoying.)
  10. Demand that everyone address you as “Conquistador”. (Note: I knew a guy who wanted me to call him Tarzan, but it might not be the same concept.)
  11. Stand over someones shoulder mumbling as they read. (Note: That’s still not as bad as standing behind a stranger and watching while they play a slot machine.)
  12. Deliberately hum songs that will remain lodged in co-worker’s minds. (Note: Like Mike O’Neill and Art Hutchison used to do to Gary Gosage with “Sh-boom, sh-boom. Ra-ta-ta-ta-ta-ta-ta-ta-ta-ta-ta, sh-boom, sh-boom…”)

I saw a sign the other day that undoubtedly is appropriate for all of us:

The History of @

An At By Any Other Name Still Gets Email Delivered

Checking the library and the Internet will provide you with several histories of the @ symbol. Each of the sources state their version with complete confidence and authority.  (That’s how false history and urban legends get started. )

I am putting my trust in this well documented account: In 2000, Giorgio Stabile, a professor at La Sapienza University in Rome, found correspondence written in 1536 by a Florence merchant, Francesco Lapi, describing three treasure-filled ships that had recently arrived from Latin America.  Lapi wrote with mercantile script which had been developed prior to that time and which often involved wrapping a letter with a flourish to indicate a longer word.  He used a wrapped a to denote an amphora, which was a measurement based on the size of terracotta containers and which was also used as an equivalency measurement.  The wrapped a might have been used before then, but no earlier examples have been found.

Over time the wrapped a was used in commercial transactions to mean at the rate of, at each or for each. (12 @ $2.00). The first Underwood typewriter in 1885 contained the commercial symbol @, which most referred to simply as at, at each or commercial at. The symbol is also sometimes used in casual handwriting as a way to shorten the two-letter word at to one letter.

In 1971, Ray Tomlinson, a computer engineer was working with a team to develop a network between computers. Although developing a mail system was not the specific purpose of the project, it was part of the work. He needed to find a way to separate an electronic mail recipient from the host computer name. (The two large computers were actually side by side in his research area).  The word at made sense and the at symbol on the keyboard seemed obvious. It’s been used that way billions of times since then.
